Responding to public reviews can often be very overwhelming for most business owners and managers. You reputation is on the line and the last thing you want is seem unhelpful or simply just too busy to care. That’s exactly why we thought of doing a list of “Best Practices” for replying to Google (or basically any platform or social media) review. Stay tuned as we also included a few templates that you can tweak to use for your own business!

Responding to negative Google reviews requires tact and professionalism to mitigate any potential damage to your reputation. Here are ten best practices to follow:

  • Respond Promptly: Address negative reviews promptly to show that you value feedback and are committed to resolving issues.
  • Personalize Responses: Address the reviewer by name (if available) to show sincerity and personalize the response.
  • Acknowledge the Issue: Acknowledge the customer’s concerns and demonstrate empathy for their experience.
  • Apologize Sincerely: Offer a genuine apology for any inconvenience or dissatisfaction experienced by the customer.
  • Take Responsibility: Accept responsibility for any mistakes genuinely made by you but don’t over-apologize. Also avoid making excuses or shifting blame.
  • Offer Solutions or Remedies: Provide solutions or remedies to address the customer’s concerns and demonstrate your commitment to fixing issues.
  • Maintain Professionalism: Keep responses professional, courteous, and free from emotional language or confrontational tone.
  • Encourage Direct Contact: Invite the reviewer to contact you directly to discuss the issue further and find a resolution together offline.
  • Highlight Positive Aspects: If applicable, highlight positive aspects of your business or previous positive experiences to balance the feedback.
  • Follow Up: Follow up with the customer after resolving the issue to ensure satisfaction and to thank them for their feedback. This could also be done offline.

5-star reviews:

Responding to positive Google reviews is just as important as addressing negative ones. Here are ten best practices to follow when replying to 5-star Google reviews:

  • Express Gratitude: Start by expressing sincere gratitude for the positive review. Let the reviewer know that you appreciate their feedback.
  • Address the Reviewer by Name (if available): If the reviewer’s name is visible, address them by name to personalize the response and show appreciation.
  • Specific Acknowledgment: Acknowledge specific aspects of the review that were mentioned positively. This shows attentiveness and sincerity.
  • Highlight Positive Points: Emphasize and thank the reviewer for highlighting the positive aspects of their experience with your business.
  • Share the Joy: Let the reviewer know that their positive feedback brings joy to your team and motivates them to continue delivering excellent service.
  • Encourage Return Visits: Invite the reviewer to visit again or to try out other products or services your business offers.
